Reserving The Clearing

The Clearing may be reserved for day use or for overnights by a single person, a family or a group. When you use The Clearing, you and your group will be the only ones on the grounds.  If you have questions, please Contact Us to send an email before requesting a reservation.

 

This is the reservation process:

  1.  Confirm availability (calendar below) for your desired dates. Be aware that your date may have already been requested by another group.  If your dates are flexible you can give an alternate date on the reservation form. Individuals and groups not affiliated with Richmond Friends Meeting can make use of The Clearing only once per calendar quarter.

  1. Determine rental fees and request an online reservation.  We need contact information for you, the dates and times you are requesting, plus some basic information about your group and how you will use our facilities to make sure we can meet your needs.

3. Receive approval from our scheduler via email.  If you or the scheduler have additional questions they can be answered by email.  Once your request has been approved we will add your event to the calendar as a “hold,” and you have two (2) weeks to secure your reservation.

  1. Secure your reservation. Your reservation will only be secured when we have received the Hold Harmless Form and your rental fee payment.  There are two options for doing this:
      1. Paper: Print the Hold Harmless form, fill it out, sign it, and mail it with a check made out to “Richmond Friends Meeting” with “Clearing Use” and the date of use on the memo line. Mail to: Clearing Scheduler, Richmond Friends Meeting/Clearing, 4500 Kensington Avenue, Richmond, VA 23221
      2. Online: Print/sign/scan the Hold Harmless form and email it to the Scheduler. You will receive an electronic invoice which you may pay online (plus 3% processing fee) or you may mail your payment as instructed above.

When we have received the above, your reservation will appear as “Reserved” on the calendar.

 

  1. Use the Clearing: respecting our property and following the Basic Rules for Users.  You will be emailed information on how to access the building, and will find emergency contact phone numbers in the information notebook in the Lodge kitchen.  Please read the rules before arriving, and make your group members aware of those that affect your planned activities.  Be sure to go through the checkout procedure, also in the notebook, when you clean up after your event, including packing out your trash and recycling.
